How we approach custom web portal development
Start with the workflow
We sit with the people who do the work today: the receptionist taking bookings, the finance officer reconciling payments, the program manager chasing reports. We map what happens, where it breaks and which steps create the most friction. From that we define user roles, permissions and a lean list of features for version one. Keeping the first release focused is the single biggest factor in getting a useful system live on time.
Prototype before we code
Our UI team designs the main screens as a clickable Figma prototype. Your staff, and ideally a few clients, click through it and tell us what is confusing or missing. Build in short, visible cycles
We typically build on Laravel, a mature PHP framework well suited to data-driven applications, with a relational database and a clean, responsive front end. Work is delivered in short cycles and demoed on a staging server, so you see real progress and can re-prioritize as you learn. Common integrations include M-Pesa via Safaricom's Daraja API, bulk SMS, email, accounting tools and existing CRMs, handled by our API integration team.
Security and data protection from the start
Web applications hold personal and financial data, so security is a design requirement, not a final checklist item. We use secure authentication, role-based access, encrypted connections, input validation, audit logs for sensitive actions and regular backups. Good web application development in Kenya is judged by adoption, not by feature count. Mistakes to avoid when commissioning a web application
- Building everything at once. Large specifications delay launch and bake in assumptions nobody has tested.
- Skipping the people who do the work. Systems designed only by management often get quietly ignored by staff.
- Treating mobile as an afterthought. Field staff and clients will use your portal on phones, often on patchy connections.
- No plan for hosting, backups and updates. An application is a living system and needs ongoing care.
